Executive Director

General Responsibilities

Reporting to the Board of Directors, the Executive Director (ED) will have overall strategic and operational responsibility for CH’s staff, programs, expansion, and execution of its mission.

Leadership over the staff and CH operations

    • Exemplifies Christ-like character to the organization
    • Leads internal programs and developments

Organizational Authority

    • Accountable to the Board
    • Liaison between board and staff

Administrative Responsibilities

    • Manages organization accounts, memberships, and affiliations, including but not limited to:
      • Physical Mailbox
      • Alliance (The National Alliance of Christian Home Education Leadership)
      • HSLDA (Home School Legal Defense Association)

Maintains organization’s non-profit status with the State of WA

    • Annual report to Secretary of State
    • Officer designation
    • Ensure CH operation within 501(c)(3) guidelines

Strategic Plan Design and Development Based on Board’s Goals and Objectives

    • Converts mission and vision statements into actionable items
    • Identifies gaps in homeschool resources and fills them
    • Initiates ideas based on vision and mission statement
    • Personally invests in the vision and success of CH’s future

Policy Adherence

    • Develops temporary guidelines with President where policy is not defined
    • Assists board in drafting new policies when needed
    • Ensures staff and volunteers adhere to organization policies; maintains accountability

Homeschooling Movement Involvement

    • Attends national/regional events
    • Understands the times
      • Has and develops answers for current/past homeschool-related issues when engaged in-person.
      • Familiar with legal/political situation in Washington and US
    • Networks with other leaders (official and otherwise) of the homeschooling movement locally and nationally

Financial Oversight

    • Understands CH’s financial assets, income sources, and expenditures
    • Influences pricing for events/products/services based on long-term vision
    • Reviews and approves the budget before submission to the Board for review
    • Reviews all financial reports from Financial Director/Treasurer before monthly board meeting
    • Provides oversight for the Donor Relation Plan

Human Resources

    • Aware of all incoming staff (preferably having participated in interview process) to make recommendations to their supervising executive staff
    • Provides direction and oversight to other directors
    • Maintains a current org chart
    • Motivates and mentors staff/volunteers/members through:
      • Monthly staff meetings
      • Weekly executive staff meetings
      • Bi-annual letters of appreciation to staff/volunteers
      • Quarterly motivational letter to members

Delivers Executive Report at Board Meetings

    • Attends all board meetings
    • Reports on the work of the executive staff, including but not limited to:
      • Admin
      • Events
      • Financial
      • Marketing
      • Projects
      • Staff

 

Qualifications:

  3. Excellence in organizational management with the ability to coach staff, manage, and develop high-performance teams
  4. Strong organizational abilities including planning, delegating, program development and task facilitation
  5. Ability to convey a vision of CH’s strategic future to staff, board, volunteers and donors
  6. Skills to collaborate with and motivate board members, staff, and other volunteers
  7. Strong written and oral communication skills

Operations Director

Purpose and Mission Execution

    • Executes Strategic Plans at the direction of the Executive Director
    • Communicates with Executive Director to establish effective execution of the organizational vision

Management Jurisdictions

    • Manages accounts, subscriptions, memberships, etc. related to operations
      • Software, subscriptions
    • Manages event logistics
      • Oversees Event Coordinators
        • Initiates regular meetings for planning and oversight leading up to events
      • Is accountable for event budgets
    • Manages marketing and website
      • Runs posts and content for media, including but not limited to:
        • Emails
        • Social Media
        • Website
        • Publications
      • Drives marketing strategy based on target audience
    • Manages internal projects and external programs
    • Manages customer relations
      • FAQ page
      • Phone/email contacts

Human Resources

    • Hires staff/volunteers for operations-related positions
    • Ensures that positions on website are up-to-date

Documentation

    • Creates reports for Executive Director and Board
      • Event Stats
      • Marketing Stats
      • Project Stats

Qualifications:

Financial Director

Develops Annual Budget

    • Confer with other Directors for feedback and input
    • Planned and emerging events
    • Prepares annual proposal for Board’s Review

Administrative Responsibilities

    • Manage(s) bank account(s)
    • Finance-specific software subscriptions, including but not limited to:
      • Bookkeeping
      • Salesforce
    • Ensures necessary financial reporting is completed
      • State reporting
      • Federal reporting
      • Taxes
    • Manages outbound donations

Management Jurisdictions

    • Manages fundraising
      • Determines need
      • Develops ideas/campaigns
      • Helps Operations Director with fundraising events/dinners
    • Manages customer relations database
    • Oversees bookkeeper
    • Manages donor relations
      • Drafts and executes a Donor Relation Plan
      • Meets with existing/potential “major” donors regularly
      • Proposes invitations to board meetings

Grant Writing

    • Acts on recommendations from Board and Executive Staff
    • Researches potential grant/donation opportunities

Creates reports for Executive Director and Board, including but not limited to:

    • Event P&Ls
    • Month over Month Bank Balances Report
    • Monthly/YTD/Annual/Historic P&L’s
    • CH Donations Month over Month (5-year)
    • Special Donations/Grants Received and Uses
    • Donor relationships

Qualifications:

  1. Strong alignment with Christian Heritage’s vision, mission, and statement of faith
  2. A current or past participant in the homeschool community
  3. Solid, hands-on, budget management skills, including budget preparation, analysis, decision-making and reporting
  4. Knowledge of fundraising strategies and donor relations unique to the nonprofit sector
  5. Ability to interface and engage with diverse volunteer and donor groups
  6. Strong written and oral communication skills
